Job Overview: Legal Assistant

A Legal Assistant provides administrative and clerical support to lawyers, legal teams, and law offices. They handle a variety of tasks to ensure the smooth operation of legal procedures, including document preparation, case management, and client communication. Legal Assistants help maintain organized records and assist with legal research and administrative functions.

Key Responsibilities:

  1. Administrative Support: Perform general administrative duties such as answering phones, scheduling appointments, and managing office correspondence. Provide support to attorneys and legal staff in daily operations.

  2. Document Preparation: Draft and prepare legal documents, including pleadings, contracts, and correspondence. Ensure that documents are accurate, complete, and properly formatted.

  3. Case Management: Assist in managing case files and records. Organize and maintain documentation, track deadlines, and ensure that all necessary paperwork is filed and updated.

  4. Client Interaction: Communicate with clients to gather information, schedule meetings, and provide updates on case status. Ensure client confidentiality and professionalism in all interactions.

  5. Court Filings: Prepare and file legal documents with courts and other government agencies. Ensure that filings are completed correctly and submitted in a timely manner.

  6. Legal Research: Conduct basic legal research and gather information relevant to cases. Assist in compiling research findings and summarizing legal information for review by attorneys.

  7. Meeting Preparation: Prepare materials for meetings, hearings, and trials. Organize and coordinate logistics, including setting up conference calls or video meetings.

  8. Calendar Management: Manage and maintain calendars for attorneys, including scheduling appointments, court dates, and deadlines. Ensure that all important dates are tracked and met.

  9. Billing and Invoicing: Assist with billing tasks, including preparing invoices and tracking client payments. Maintain accurate records of billable hours and expenses.

  10. Compliance: Ensure that all administrative and legal procedures comply with relevant laws and regulations. Stay updated on changes in legal procedures and office practices.

Skills & Qualifications:

  • Associate’s degree in Legal Assistant Studies, Paralegal Studies, or a related field, or equivalent professional experience
  • Strong organizational skills and attention to detail for managing case files and documentation
  • Proficiency in office software such as Microsoft Office (Word, Excel, Outlook) and legal management systems
  • Excellent written and verbal communication skills for drafting documents and interacting with clients
  • Basic understanding of legal terminology, procedures, and documentation
  • Ability to handle multiple tasks and prioritize effectively in a fast-paced environment
  • Strong problem-solving skills and ability to work independently and as part of a team
  • Professionalism and adherence to confidentiality and ethical standards
  • Experience with legal research tools and software is a plus
